Step 1 — Check status in admin center

  1. admin.microsoft.comBilling → Your products
  2. Note Expiry date and Status (Active, Disabled, etc.)
  3. Compare licensed users vs people still in the tenant

Step 2 — If you intend to renew

  1. Contact your licensing partner (or us) with seat count and plan names.
  2. Pay before suspension if possible — reactivation is faster.
  3. Confirm licenses show Active and users can send test mail.

Thailand / Singapore: Have VAT/GST invoice details ready for AP.

Step 3 — If mail already stopped

  1. Do not delete users hoping to fix billing — worsens recovery.
  2. Renew or reactivate subscription with partner first.
  3. After activation, wait up to 24 hours for services to resume.
  4. If still broken, check MX records still point to Microsoft — DNS guide.

Step 4 — If you are leaving Microsoft 365

Plan before expiry:

  1. Export mailboxes (PST or migration tool to new host).
  2. Download SharePoint/OneDrive libraries.
  3. Document DNS changes for new mail provider.
  4. Remove or lower MX after cutover to avoid bounce loops.

Will I lose data after 30 days? Microsoft has retention policies for deleted tenants — treat data as at risk once suspended; do not wait.

One user expired only? Usually means unassigned license or individual subscription issue — assign a license in admin center.
