- Renew before expiry — see renewal without downtime.
- Export mail and files before canceling if you leave Microsoft.
Who this guide is for
Finance or IT contacts who missed a renewal date, changed credit cards, or are deciding whether to renew, migrate, or cancel.
What happens timeline (typical)
| Stage | What users see |
|---|---|
| Before expiry | Normal service; renewal reminders from partner |
| Expiry day | Warnings in admin center |
| Grace (short) | Intermittent access or read-only in some services |
| Suspended | Cannot send/receive email; Teams limited |
| Deleted tenant (late) | Data recovery difficult or impossible |
Exact timing depends on NCE billing and partner — see NCE billing explained.
Step 1 — Check status in admin center
- admin.microsoft.com → Billing → Your products
- Note Expiry date and Status (Active, Disabled, etc.)
- Compare licensed users vs people still in the tenant
Step 2 — If you intend to renew
- Contact your licensing partner (or us) with seat count and plan names.
- Pay before suspension if possible — reactivation is faster.
- Confirm licenses show Active and users can send test mail.
Thailand / Singapore: Have VAT/GST invoice details ready for AP.
Step 3 — If mail already stopped
- Do not delete users hoping to fix billing — worsens recovery.
- Renew or reactivate subscription with partner first.
- After activation, wait up to 24 hours for services to resume.
- If still broken, check MX records still point to Microsoft — DNS guide.
Step 4 — If you are leaving Microsoft 365
Plan before expiry:
- Export mailboxes (PST or migration tool to new host).
- Download SharePoint/OneDrive libraries.
- Document DNS changes for new mail provider.
- Remove or lower MX after cutover to avoid bounce loops.
For Google as destination, see Google migration checklist in reverse with your new provider’s guide.
Preventing repeat expiry
- Calendar reminder 30 and 14 days before renewal.
- Align billing contact with accounts payable email.
- Match seat count to active employees quarterly.
- Consider annual billing if monthly invoices get missed (often cheaper).
FAQ
Can I buy licenses from Microsoft directly to fix expiry? Yes, but your tenant must match the seller. Many SMEs use a CSP partner in THB/SGD for local invoices.
Will I lose data after 30 days? Microsoft has retention policies for deleted tenants — treat data as at risk once suspended; do not wait.
One user expired only? Usually means unassigned license or individual subscription issue — assign a license in admin center.
Summary
Expired Microsoft 365 means stopped productivity. Renew quickly with your partner, verify DNS, and export data if you migrate away. Prevention is cheaper than emergency recovery.
